Information we use and why
When you buy from us, we receive your name, email address, delivery details, purchased items, order value and payment status. We use this information to fulfil your order, communicate about it, handle cancellations and returns, and maintain our sales and accounting records. Order information is also transferred to our RBW IMS inventory system.
We process orders and customer service requests to perform our contract with you, accounting records to meet legal obligations, and security information for our legitimate interests in protecting the website and preventing fraud. Website services may process your IP address and technical request information for delivery, security and troubleshooting.
Software enquiries
When you submit a software enquiry, we use your company and contact name, email, optional phone and industry, user count and questions to respond and discuss your requirements. We process this information to take steps at your request before entering a contract, or for our legitimate interest in answering business enquiries. The enquiry is sent to our business email through Resend. We do not use it to subscribe you to marketing. We retain enquiry correspondence only as long as needed for follow-up and related business records. Hashed request identifiers are used to limit abuse of the form.
Payments and service providers
Card payments take place on Stripe’s hosted checkout. RBW Designs does not receive or store your full card number or security code. Stripe processes payment information under its own privacy notice.
Resend processes recipient email addresses and order messages to send confirmations and service notifications. Private order links expire after 90 days; keep them confidential. Our website hosting and security providers process information needed to operate the service. Delivery details may be shared with the carrier to deliver your order. Product photographs hosted by eBay give its image service your IP address when they load. Owner administration uses ChatGPT sign-in; customers do not need a ChatGPT account to shop.
Some service providers may process information outside the UK. Where required, applicable adequacy decisions or contractual safeguards govern those transfers. See the providers’ notices for details: Resend, Stripe, Cloudflare, OpenAI and eBay.
Website visit totals
We count page visits to the software home page and 3D product pages using daily totals. We also count arrivals by referring website domain, public landing page and campaign labels (utm_source, utm_medium and utm_campaign) supplied in links. We retain only daily aggregate counts, not full referring URLs or query strings. These totals contain no visitor identifiers, IP addresses, browsing profiles or customer details. These aggregate totals are separate from optional Google Analytics. Totals are retained to compare website traffic over time. Owner visits and administration pages are excluded. At the owner’s request, an exclusion cookie (rbw-exclude-visits) remembers the owner’s browser for one year, including while signed out.
Cookies and browser storage
With your consent, we use Google Analytics (G-LFG7XNNRB0) to measure visits and completed checkouts and assess advertising results. Google receives technical and usage information, including your IP address, and may process it outside the UK. We do not send your name, email, delivery details or private order links to Google. Google Analytics cookies (_ga and _ga_*) may last up to 13 months. Advertising storage, Google Signals and personalised advertising are disabled in this installation. Accept or reject analytics in the banner, and change your choice at any time through Cookie settings. Your choice is stored for 180 days in rbw-google-consent-v1. See Google’s privacy notice. We use the following browser storage for shopping and checkout:

Our hosting and sign-in services may also use storage necessary for security and authentication. Stripe manages the storage used on its checkout domain. We rely on the strictly necessary exception for storage essential to the shopping or sign-in service you request, rather than asking for consent to advertising cookies.
You can remove basket items using the basket controls, or clear this site’s storage through your browser’s site settings. Blocking browser storage may prevent the basket and checkout retry protection from working. Rejecting optional analytics does not affect shopping or checkout.
How long information is kept
We retain order and accounting information for the period required by applicable tax and accounting rules, and information needed for returns, disputes and legal claims. Other information is retained only as long as needed for the purpose described above. Contact us for details about the retention of your particular records.
Your rights
Depending on the circumstances, you can ask to access or correct your personal information, request deletion or restriction, object to processing based on legitimate interests, or request a portable copy. Some records must be retained to meet legal obligations. Contact us using the details above to make a request.
You can complain to the Information Commissioner’s Office (ICO) if you are concerned about how your information is handled.
Purchases through other marketplaces
Purchases made through eBay or Amazon are also subject to the relevant marketplace’s privacy notice and order process. This notice describes purchases and browsing on the RBW Designs website.
